Payment Process

First Payment

The Notion document will contain two auto-generated invoices. One for the 50% upfront payment and one for the 50% final payment.

Send the DAO the upfront invoice for their first payment and ensure they receive it.

Once they submit the payment, check if it has arrived in the Gnosis multisig. When you receive the initial payment, consider the project fully confirmed and get started.

Follow-Up

If the client has accepted the proposal, but has yet to send the initial payment, indicate the details in the notes section of their Client Page in Notion.

First Follow-Up (2 days after consultation call)

If you have yet to receive the initial payment, reach out to see if they have any questions. Please feel free to use the following message and edit as necessary. Keep the message short and simple and aim for helpfulness rather than pressure.

"Is there anything I can help with in regards to next steps or the initial invoice?"

Second Follow-Up (7 days after consultation call)

For the second follow-up, the following template is a good start. Please feel free to use it as is or, if you're comfortable, to add specifics about the client and the next steps you have discussed.

"Hey! I wanted to reach out to see if you have any questions about the invoice or the upcoming interviews. Please let me know if there's anything I can help with!"

Final Follow-Up (14 days after consultation call)

The last follow-up is a great chance to revisit the value of the documentation. The template below can be used as is, but it would be helpful to make it more personalized. Adding specifics about the issue the documentation will address for them is a great way to remind them about the value. For example, "If you are still interested in the Onboarding Documentation to aid your [Specific Role] in delegating their workload" or "If you are still interested in smoothing out your onboarding process" etc.

"Hey there, I hope you're doing well. I'd love to get the Interviews scheduled for sometime next week. If you are still interested in the Onboarding Documentation, once the initial payment is made, we can get something on the calendar and have something to you within a week! Please let me know if you have any questions or if there's anything I can help with."

If the client does not reply or declines to make the payment, follow the "Archiving" steps listed here.

Final Payment

After the handover, use this guided Typeform to complete the project. It will submit the final invoice to the client and signal to everyone that the project is complete.
